The District of Saanich is hiring a Senior Committee Clerk to support Council and Legislative Services operations.

The District of Saanich is seeking an organized and detail-oriented professional to join our Legislative Services Division in the role of Senior Committee Clerk. This full-time position plays a key role in supporting the work of Saanich Council and, as needed, its standing and other committees by delivering a full range of legislative and administrative services.

In this dynamic role, you will be responsible for real-time minute-taking, preparing and distributing accurate records of Council and committee deliberations and decisions, and coordinating all aspects of meeting logistics. You will also respond to inquiries related to bylaws, policies, and Council decisions, and support post-meeting follow-up activities.

A key part of this role involves maintaining and organizing official records, retrieving historical documents, reports, and minutes, and supporting the Division’s records and information management systems. You will also conduct research, analyze options, and support special projects that inform decision-making.

In addition, the Senior Committee Clerk provides administrative and logistical support during municipal elections, contributing to the smooth and transparent delivery of the electoral process.

The successful candidate will assist with maintaining Council and Division web content, support internal users of the agenda management system, and help coordinate the Council’s recruitment process for advisory committees and appointments to external organizations.

Requirements

Essential requirements include strong understanding of local government, including the role of Council, and familiarity with meeting rules and procedures. Excellent written and verbal communication skills are essential, along with a solid command of business English—including grammar, sentence structure, and punctuation—and the ability to listen carefully and accurately summarize key points.

You will demonstrate a proven ability to solve problems, pay close attention to detail, build positive working relationships, and exercise sound tact and judgment. A strong customer service orientation and the ability to adapt in a dynamic, evolving environment are also important. Additionally, the successful candidate must have a solid understanding of records management systems and best practices.

Also required is a one year certificate in local government administration, public administration or related discipline and additional courses on topics such as Freedom of Information and Protection of Privacy, records management, parliamentary procedure and communications; a minimum of three years related administrative experience in a local government environment, including two years experience acting as secretary to Council, committees, boards, or commissions; advanced level word processing, intermediate level excel and website applications. Candidates with an equivalent combination of education and experience may be considered.

The successful candidate will work Monday to Friday, 8:30 a.m. – 4:30 p.m. and will be required to attend evening meetings outside regular working hours. Salary & Benefits
