The Opportunity Corporate Services Department | Permanent Full-Time Position | Monday - Friday |8:30am - 4:30pm

Lacombe County is looking for a skilled Administrative Assistant to join the Corporate Services department.
Reporting to the Director of Corporate Services, this position is responsible for assisting with various executive level administrative tasks, including updating bylaws and policies, and playing a key role in managing the County’s insurance policies, administering land leases, and overseeing funding for Family and Community Support Services (FCSS) programs.

Key Responsibilities

• Assist with the preparation of bylaws, contracts, policies, procedures and administrative directives for the department.
• Prepare agendas and relevant background material for various Commissions, Committees and working groups. Attend meetings and record minutes.
• Serve as an information resource for the department regarding various matters (contracts, FCSS and recreation grant funding, County land sales and leases, and oil and gas leases, etc.). Update and maintain the department sections on our County website and the applicable sections on SharePoint.
• Manage all elements of the County’s FCSS program and act as the point of contact to service providers.
• Manage all elements of the County’s insurance policies. Act as the liaison between the County and the insurers regarding insurance.
• Prepare correspondence and review/proofread reports; organize, create and maintain paper and electronic records and files for the department and supporting Commissions.

Requirements

Key Qualifications

• Grade 12 diploma, or equivalent, plus post-secondary education in Office Administration, Business Administration or a related program, supplemented by a minimum of 3 years of professional office experience. Previous office experience in a government environment is an asset.
• Proven interpersonal and communication skills (both written and verbal); must be able to establish and maintain positive and productive working relationships with internal and external stakeholders in a manner that displays tact and diplomacy.
• High level proficiency with Microsoft Office 365 (MS Word, Excel, PowerPoint, SharePoint, Teams), with the ability to learn relevant software applications.
• Demonstrated ability to effectively manage a variety of tasks and consistently meet deadlines. Strong attention to details required along with exceptional organizational skills.
• Able to remain objective and diplomatic, exercise mature judgement and maintain the highest level of confidentiality.
• Knowledge of local government and its relationship with residents, other levels of government, and the private sector is considered an asset.
• Knowledge of records information management practices and standards is considered an asset.
