Description
RESPONSIBILIES

The successful candidate will:

Assist the Communications team with the following tasks:

  • Provide support for internal and external events (including but not limited to Water|Earth|Innovation conference, employee engagement events, and community and public relations events, etc.)
  • Responsible for organizing office engagement and celebration activities (birthday/milestone recognition)
  • Coordinate and facilitate school presentations
  • Coordinate and facilitate facility tours
  • Support in coordinating corporate initiatives
  • Provide support in inventory control for marketing and promotional materials
  • Monitor office supplies and order as needed (e.g. coffee supplies, stationary, etc.)
  • Maintain electronic filing systems
  • Organize and prepare for meetings including scheduling, minute taking, agenda preparation, catering as applicable, and setup/cleanup
  • Support the development of corporate documents and publications
  • Provide backup support for the Public Relations and Communications Specialist and the Marketing and Communications Specialist
  • Provide backup support for the Corporate Secretary and the Corporate Assistant
  • Coordinate travel arrangements
  • Process expense claims
  • Promote and demonstration Aquatera’s Core Values
  • Perform other duties as required

Assist Engineering Department with the following tasks:

  • Organize and prepare for meetings including scheduling, minute taking, agenda preparation, catering as applicable, and setup/cleanup (County Info Share, Staff and Project, Standards)
  • Assist with document preparation and formatting (Request for Proposals, Tenders and Contracts, and Standards, etc.)
  • Maintain Final Acceptance Certificate records including archiving and disposal
  • Maintenance of files/records
  • Data entry into Cityworks/GIS (e.g. design documents, field surveys, field inspections and data books)
  • Deficiency list creation from field data/notes
  • Hard copy drawing and report scanning, filing and maintenance
  • Contract document filing and file maintenance
  • Travel arrangements
  • Expense claim processing support / Visa reconciliation
  • Perform other duties as required

QUALIFICATIONS

The ideal candidate will have:

  • Administrative/Business Diploma and/or equivalent office experience
  • Grade 12 or equivalent
  • Two to three years of relevant experience
  • Must be legally entitled to work in Canada
  • Valid driver's licence with a clean driving abstract

As conditions of employment the following will be required:

  • Provision of a valid Canadian Driver’s licence, minimum Class 5
  • Provision of a driver’s abstract satisfactory to the Employer
  • Satisfactory completion of a comprehensive drug and alcohol test
