Position Summary

  • The Administrative Assistant reports to the Director of Environment & Sustainable Initiatives and performs office management duties by providing administrative, technical, communications and logistical support to the Director and the Department;
  • Provide confidential support for all matters relating to departmental finances, reporting, employee attendance and performance management, purchasing, strategic planning, document control, and program/project management;
  • Coordinates schedules, meetings, prepares documents, reports, contracts and purchase orders, agendas, and correspondence, and acts as the main point of contact for the Department, providing excellent customer service and professional office administration;
  • Administer all aspects of departmental reports to Council and Committees including some primary authorship duties;
  • Initial point of contact for the public and others making inquiries of the Department and is responsible for specific specialty programs and projects as assigned by the Director;
  • Provide administrative, program and project support to other departments as may be needed from time-to-time.
  • Other duties as assigned.
Requirements

Qualifications, Competencies

  • Diploma or Degree (minimum of 2 year program) in Office Administration, Business Administration, Environmental Management or related field;
  • Education, training and/or experience in environmental sciences, environmental studies, sustainability or related topics is strongly preferred;
  • 5 years of related senior level administrative experience in a professional office setting including working with databases, contracts, project accounting, purchasing and records management;
  • Experience with environmental management systems, engineering project management support, geographical information systems or geomatics and technical data management is strongly preferred;
  • Experience with real estate transactions and engineering contracts would be considered an asset;
  • Must demonstrate corporate competencies of Customer Focus, Results Orientation, Integrity and Teamwork.

  • Excellent interpersonal, communication, & customer service skills;
  • Team player and able to work independently with limited supervision in a fast paced, multi-tasking environment with tight deadlines;
  • Ability to interpret and understand legislation, municipal by-laws, city policies and procedures, protocols, and related guidelines;
  • Identify and effectively resolve issues in a complex and highly confidential and sensitive nature;
  • Strong knowledge of accounting and purchasing concepts along with understanding of real estate transactions, and requirements to prepare contracts and purchase orders;
  • Intermediate skill level in Microsoft Word and Excel and basic skill level in PowerPoint or other presentation software (tested);
  • Experience with Financial Management Systems and/or Human Resources Systems is an asset;
  • Strong record management skills with understanding of privacy, confidentiality and related legislation;
  • Strong grammar, writing, and editing skills with attention to detail;
  • Demonstrate discretion, initiative and tact to deal with sensitive matters.
