OPERATIONS ADMINISTRATIVE ASSISTANT

Responsible for:
Providing exceptional customer service to internal / external clients including front counter / telephone reception; Access Vaughan Call Centre integration and administrative and clerical support to staff ; including file management of Supervisors daily logs ; managing / maintaining departmental filing systems and office supplies. Conducts daily maintenance of the Parks PM Schedules; administers public applications and processes payments and reconciles monthly fuel bills. Audit and process work orders and employee crew cards; monitors and processes subdivision matters ensuring standard service levels are maintained. Processes correspondence for Service-in-Kind and Adopt-a-Park community events. Supports and volunteers in departmental community based initiatives.
- Successful completion of a 3-year College Diploma in Business Administration or suitable equivalent.
- Minimum of three (3) years' senior administrative experience preferably in a public service environment.
- Proficient keyboarding skills with thorough working knowledge of Microsoft Office Suite, i.e. Word, Excel, Power Point, Outlook, GIS Arc Map Reader and any other related database and software applications.
- Proven time management and organizational skills coupled with strong attention to detail; ability to work independently as well as in a team environment.
- Demonstrated ability to provide high quality customer service with the competency to understand and respond in a fair and expedient manner utilizing problem solving skills, tact and diplomacy in a fast paced environment.
- Excellent interpersonal and clear communication skills both oral and written with a demonstrated commitment to customer satisfaction.
- Proven record in tracking customer issues, presenting data and making recommendations, including analyzing problems and formulate solutions involving appropriate resources and communicating effectively.
- Must be able to multi-task while remaining fluid /adaptable to changing needs of the department and the City.
- Knowledge of, and demonstrated ability in, the city’s core competencies and relevant functional competencies.
- Ability to deal professionally and effectively with the public and all levels of staff and members of Council, exercising patience and active listening skills.
- Available to work overtime during peak periods and for community services events (both scheduled and unscheduled).
